Badminton and Pickleball Court Booking Software: Courts, Members and Coaching in One System
· Ashish Tagwale
Quick answer: Badminton court booking software lets your members book courts online, pay or use plan credits, and get reminders, while you control pricing, coaching slots and no-shows from one dashboard. For a venue that also sells memberships and coaching, the right system replaces WhatsApp bookings without paying a commission on every booking.
Most court venues start the same way. One phone, one WhatsApp number, and a notebook at the desk. It works for the first few months. Then the evening slots fill up, a few regulars start asking for “the usual” every week, a coach wants two courts every morning, and someone shows up at 7 pm to find their court double-booked.
If that sounds familiar, this guide is for you. We’ll cover what a court venue actually needs from software, how it differs from a simple booking app, and the questions to ask before you choose one.
Why court venues outgrow WhatsApp bookings
WhatsApp feels free, but it carries hidden costs that grow with every new court:
- Double bookings. Two staff members confirm the same slot from two phones.
- No-shows with no consequence. Someone books the 8 pm slot, doesn’t come, and you can’t sell it to anyone else at the last minute.
- Prime slots go to friends. Without clear rules, the best hours quietly go to whoever messages first or knows the staff.
- Cash that doesn’t match. Payments come in cash, UPI and “I’ll pay next time”, and nobody can reconcile them at the end of the day.
And competition for players is rising fast. Hudle’s CEO said in July 2025 that the platform was adding over 300 pickleball courts every month in India (company-reported, StartupTalky, 21 July 2025). More courts in your city means players can easily go elsewhere. A smooth booking experience is no longer a nice extra. It’s how you keep them.
Booking calendar vs running a venue
There’s a difference between filling slots and running a venue.
A booking marketplace (an app where players discover and book courts across many venues) is good at bringing new players to you. But you pay a commission on each booking, and the player relationship belongs mostly to the platform.
Running a venue needs more than a calendar. You also sell monthly memberships, run coaching batches, set different prices for peak and off-peak hours, handle walk-ins, manage staff and keep accounts. A calendar alone doesn’t do any of that.
Many venues use both: a marketplace for discovery, and their own system for members, coaching and payments. That way, your regulars book directly with you, and you keep the full booking value.
The 8 features a court venue needs
If you’re comparing badminton or pickleball court booking software, check for these eight features:
- Court and slot setup. Add each court, set slot lengths and opening hours, and block slots for maintenance or events.
- Member plans with session credits. Sell monthly plans that include a set number of court hours or sessions, which are deducted automatically when a member books.
- Peak and off-peak rates. Charge more for 6–9 pm and less for empty afternoon hours, without staff calculating prices by hand.
- Pay-per-use for non-members. Players without a membership book a single slot from your venue’s own booking page and pay by UPI straight to your UPI ID, and your desk confirms the payment. Members can also pay online by UPI or card, settled to your bank account.
- Waitlists. When a prime slot is full, members join a waitlist, and the next in line is offered the slot if it opens up.
- Coaching lessons. Trainers book lessons on specific courts, and those slots are blocked for everyone else.
- Check-in and no-show rules. Record who actually showed up, set a cancellation cut-off, and pause booking for players who keep missing their slots.
- Utilisation reports. See which courts and hours are full, which sit empty, and how much each court earns.

How members book with plan credits
Here’s what booking looks like for a member using the GymCare member app:
- Open the app and pick the sport: badminton, pickleball or any other court you run.
- Choose the court and a free time slot.
- Confirm the booking. If their plan covers it, credits are deducted automatically. If not, they pay online.
- Get a confirmation straight away and a reminder about an hour before the slot.
- Show up and play. The desk sees the booking already marked, so there’s no back-and-forth.
For the member, it takes about 20 seconds. For your desk, it removes dozens of WhatsApp messages a day.
Badminton vs pickleball: setup differences
A badminton doubles court and a pickleball court have the same footprint, roughly 13.4 m × 6.1 m (44 ft × 20 ft). That’s why many venues convert badminton courts or offer both sports. But they’re run differently:
| Setting | Badminton | Pickleball |
|---|---|---|
| Typical group | Singles or doubles regulars | Mostly doubles, often mixed groups |
| Slot pattern | Fixed weekly slots are common | More casual, open-play sessions |
| Shared or exclusive courts | Usually one group per court | Open play can rotate players on one court |
| Equipment | Players usually bring rackets | Paddle and ball rental is common |
In GymCare, each sport has its own slot length, prices, peak hours and booking rules, and a court can be booked by one group or shared, so badminton and pickleball can run side by side.
If you also run a gym
Many sports clubs in India run a gym alongside their courts. That usually means two systems, two member lists and two sets of payments that never quite match.
With a single system, one member record covers both. For example, you could sell a “Club” plan that includes gym access plus 8 court hours a month. One member profile holds their gym plan, court hours and bookings, and your gym management software and court bookings share one set of reports.

Moving from WhatsApp to a booking system: a simple two-week plan
Switching doesn’t need to disrupt your regulars. Here’s a plan that works for most venues:
- Days 1–3: Set up. Add your courts, opening hours, peak and off-peak rates and your current member plans.
- Days 4–5: Move your regulars. Enter fixed weekly bookings and coaching batches first, so the calendar matches reality from day one.
- Days 6–7: Train the desk. Let staff take every new booking in the system, even ones that still arrive on WhatsApp.
- Week 2: Invite players. Share the app link with members and your booking page link with everyone else on your WhatsApp group, with a short message: “Book your court in 20 seconds, no need to message us.”
- End of week 2: Stop manual confirmations. From now on, the desk replies to WhatsApp booking requests with the booking link.
Give it a month. As regulars get used to booking for themselves, the WhatsApp requests drop off.
Questions to ask before you choose software
Before you sign up for any court booking system, ask the vendor these questions:
- Commission or flat fee? Do you pay a percentage of every booking, or a fixed subscription?
- Who owns the member data? Can you export your members and their history if you leave?
- Where does the money go? Does payment settle directly into your bank account, or does the platform hold it first?
- Can plans include court credits? Or can members only pay per booking?
- Does it handle coaching and memberships too? Or will you need a second tool?
- Is it built for India? GST invoices and UPI payments should be standard, not add-ons.

Frequently Asked Questions
Does GymCare charge a commission per court booking?
No. GymCare is a flat subscription with no commission on bookings. UPI payments from your booking page go straight to your own UPI ID, and online payments settle to your own bank account (standard payment-gateway charges apply to online payments).
Can members use plan credits to book courts?
Yes. A plan can include a set number of sessions or hours per sport each week or month, or unlimited play, and you can limit a plan to off-peak hours.
Can I run coaching batches on the same courts?
Yes. Trainers book lessons on courts, and those slots are blocked for others.
Can I still list my courts on booking apps?
Yes. Many venues keep marketplaces for discovery and run their members and coaching on their own system.
Is a badminton court the same size as a pickleball court?
The footprint is the same, about 13.4 m × 6.1 m (44 ft × 20 ft). The nets and line markings differ, which is why many venues run both sports on the same floor with both sets of lines.
